Event Coordinator

Libertas Network is an award-winning association of family-facing initiatives that change hearts, minds, and laws to create a freer future. Our projects include innovative policy reforms adopted in dozens of states, the Tuttle Twins books teaching kids the ideas of a free society, and the Children’s Entrepreneur Market helping tens of thousands of youth launch small businesses each year. We are looking for a detail‑obsessed Event Coordinator to take ownership of the planning and execution of our key internal and external events.

This can be a part-time or full-time role, primarily remote, with in-person work required during events and site visits as needed.

What You’ll Own

You will be responsible for:

  • Planning and executing our full-team annual retreat, including venue selection, lodging, transportation coordination, A/V needs, food and beverage, agendas, and on-site logistics.
  • Planning and executing annual department retreats and other smaller team events throughout the year, ensuring each gathering is purposeful, well-structured, and on-budget.
  • Coordinating events that involve legislators, public officials, and policy partners, with extreme professionalism and alignment to Libertas Network’s mission and brand.
  • Researching, negotiating, and managing contracts with venues, hotels, caterers, transportation providers, and AV vendors.
  • Creating and managing event timelines, run-of-show documents, checklists, and internal communication so stakeholders know exactly what is happening and when.
  • Owning attendee communication and experience: invitations, registrations, confirmations, pre-event information, and post-event follow-up and surveys.
  • Coordinating with internal teams (policy, development, operations, Tuttle Twins, Children’s Entrepreneur Market, etc.) to align event goals, speakers, agendas, and content.
  • Managing event budgets, vendor invoices, and basic reporting on attendance, costs, and lessons learned, with a strong focus on continuous improvement.
  • Being physically present at key events (Utah-based and occasional out-of-state) to oversee setup, troubleshoot issues, and ensure a smooth experience for all participants.

You Will Bring

You will bring to the role your:

  • Demonstrated experience planning and executing professional events (retreats, conferences, legislative events, donor gatherings, or similar), ideally in a nonprofit, advocacy, or startup environment.
  • Strong alignment with the ideas of individual liberty, free markets, personal responsibility, and the broader mission of the Libertas Network; you are comfortable working around elected officials and policy conversations.
  • High level of organization, attention to detail, and the ability to manage multiple events and timelines simultaneously without dropping balls.
  • Comfort negotiating with venues, hotels, and vendors, and reading/managing basic event contracts and room block agreements.
  • Hands-on experience with AV needs for live events (projectors, sound systems, mics, recordings) and the ability to interface effectively with AV vendors.
  • Strong written and verbal communication skills and a warm, professional presence with both internal teammates and external partners.
  • Tech savviness and ability to use tools like Google Workspace, Notion, CRM/event tools, and AI to streamline planning, communication, and documentation.
  • Ability and willingness to travel and be on-site for key events, including occasional evenings or weekends when events require it.

Role Details

  • Status: Part-time/hourly (number of hours fluctuating as needed)
  • Location: Candidates must live in Utah. The position is remote, with required in-person presence at events and occasional site visits.
  • Reports to: Max Miller, Executive Vice President
